Beginner

Foundation

Set up the account, workspace, users, roles, business profile, and billing context before operational records go live.

  • Create or verify the provider account and primary business workspace.
  • Confirm business profile, timezone, contact, and billing settings.
  • Invite owner/admin users and assign scoped business access.
  • Review dashboard setup gaps before importing or creating records.

Core workflow

Participants and Care Records

Build complete participant profiles with support needs, plans, risks, contacts, consent history, notes, evidence, and documents.

  • Create participant records with NDIS, contact, plan, and service context.
  • Attach documents, signed agreements, consent records, and review dates.
  • Track risks, behaviour support flags, outcome evidence, and care plan goals.
  • Use participant views as the source of truth for service delivery context.

Core workflow

Workforce and Mobile Staff

Give coordinators and support workers clean workflows for scheduling, attendance, mobile notes, incidents, leave, tasks, and timesheets.

  • Roster staff from scheduling and check attendance or clash signals.
  • Use the mobile staff app for assigned shifts, notes, uploads, and tasks.
  • Capture clock events, incidents, and service notes from the field.
  • Review timesheets, leave, and worker follow-up from responsive grids.

Finance

Billing, Claims, and Stripe

Connect service delivery to invoices, claim preparation, rejection handling, participant-tier billing, subscriptions, and payment visibility.

  • Review billable records before invoice or claim preparation.
  • Use claim batches and rejection imports to correct finance issues.
  • Monitor participant-tier billing quantities at account level.
  • Keep billing and finance reports scoped to the selected business.

Admin

Provider Integrations

Connect supported providers with merchant-scoped credentials, OAuth state, sync logs, attention states, and pull/push adapters where supported.

  • Save provider credentials for each merchant or business account.
  • Authorize OAuth providers and confirm external account identifiers.
  • Review sync results, failed provider messages, and credential attention states.
  • Use delivery logs to troubleshoot email, SMS, and notification providers.

Implementation

Migration and Imports

Move provider data into SupportLedger through CSV templates, row validation, mapping review, dry-run checks, and legacy references.

  • Download templates for participants, staff, documents, shifts, invoices, complaints, and related records.
  • Upload batches and review mapping or validation messages.
  • Resolve rejected rows before importing production records.
  • Keep legacy references for traceability after migration.

Admin

Administration and Governance

Manage users, permissions, menus, public pages, backups, worker runs, logs, security posture, and operational readiness.

  • Use role boundaries and menu controls to shape each workspace.
  • Manage public website navigation without code changes.
  • Review worker, backup, readiness, and observability signals.
  • Inspect audit logs, public enquiries, and integration health regularly.
